COMMITTEES OF THE FRIENDS


The following is a list of committees within the Friends of the New Hanover County Arboretum.  You don’t have to be a member of the Board to be a committee member.  However, the chair of each committee is a Board representative.

Executive Committee

Consists of the President, Vice-President, Secretary and Treasurer, who are all voting members.  They meet as needed to plan the Board’s work and to fulfill tasks assigned to them by the Board.  It serves in an advisory capacity to the Finance and Governance Committees.  Also deal with any items needing clarification or resolution to determine the most appropriate direction.


Finance

Maintains a clear and understandable view of The Friends finances and tracks profit and loss by committee and/or project, as required.  It also leads the formulation of the annual budget with input from the various committee chairs. The Treasurer chairs this committee.

Fundraising

Actively seeks contributions from donors and sponsors targeting amounts $1000 and above. From time to time it develops ideas for fundraising events to bring in new donor prospects or as a way to thank previous donors.  It is responsible for formulating grants and sponsorship letters that must be approved by the President of The Friends and the Arboretum’s Director.

Gift Shop

Responsible for maintaining gift shop inventory and coordinating with volunteers to keep the gift shop open at scheduled times [morning (10 am to 1 pm) or afternoon (1 pm to 4 pm) shift] and during special events, to serve visitors to the Arboretum. It develops an instruction module and training session on how to use ShopKeep software, scanner, and credit card machine.  Where possible, it also creates marketing promotions.

Governance

The Board Secretary is responsible for the activities of this committee.  It has the responsibility for ensuring the By-Laws reflect accurately the goals and organization of The Friends; for recruiting board members to fill vacancies, or specific board member needs and providing orientation for new board members.  Annually, it develops a slate of board members to fill the coming years Officers positions and presents to the full board for a vote.

Marketing/Advertising

Works closely with each of the committees to ensure there is a consistent look and feel and effective use of The Friends marketing dollars in promoting the Arboretum and raising funds for its use.  It maintains an annual marketing calendar that is shared with the committees, the Master Gardeners Association and the Extension staff to ensure there is a coordinated use of the gardens and access to the FOA and Master Gardener members.  It also utilizes strategies for increasing awareness about the Arboretum and for increasing attendance.  Working with other Arboretum programs it helps create a universal and unified marketing strategy for the Arboretum.

Membership

This committee manages a membership signup booth table at Arboretum Events (i.e. Tidewater Camellia Club, Annual Spring Plant Sale, Native Plant Festival, Art in the Arboretum, etc.) and at the Wilmington Biz Expo to sell memberships to prospects while working closely with marketing efforts.  It is responsible for the upkeep of and updates to the membership levels and benefits package. It also sponsors an FOA annual appreciation event with food, drink, music and golf cart tours of the gardens.


Special Events

It works closely with the marketing committee and director to ensure event promotion and also provides and maintains a list of events as part of an annual marketing calendar.

This committee is responsible for promoting the use of the Arboretum’s Gardens as a place to hold a special event.  Some examples are as follows:

Art in the Arboretum

This is an annual fall event that fills the gardens with art and music for a weekend.  The event will be held the first weekend of November and features local artists works, including paintings, prints, pottery, sculpture, and other media.  A raffle, auction, and performances by local musicians and other dance performers will be featured. Plan to attend one of the largest outdoor gatherings of art and music in the area.

Technology

Is responsible for web development for The Friends website; upkeep of and updates to the site to retain accuracy and to keep up with current events; for contributing to and creating social media platforms that will increase the Arboretum’s following.
